Minutes for November 13, 2003

Present: Charles Owen, Carol Kidd, Vickie Welch, Jimmy Hickey, Linda Duncan
Absent: Tom Jones, Tim Hardy, Dennis Hamilton

The Minutes for the October 8 meeting were read and approved, as was the Treasurer's report. Our bank balance as of October 27, 2003 - $52, 894.15.

Old Business:

The Annual Meeting October 18 resulted in the addition of three alternates to the Board - Mark Osborn, Martin Rothman, and Robert Davison.

New lighting - Tim wants to wait before making arrangements to have new lighting installed throughout the subdivision. There is a question on light-pole removal.

Vickie will be chairing the Christmas Decorations Committee (Tim, Carol, Dennis, Vickie). All these judges are to give their top three (3) choices to Vickie on December 20. Charles will get the winner signs to Vickie.

Jimmy is trying to nail down the exact number of homes in Yorktown North. Carol is checking property tax information for this. Late dues notices will go out in December, giving delinquent households until February before liens will be filed.

New Business:

Jimmy will be checking to see if we have ever received money from liens when property was sold. It is not showing up on monthly statements.

November 18, MSD rep G. Merriwether will meet with Directors at the lake to view the section eroding up to the fence-line at the south outlet of the original lake.

A proposal for having a provision for alternates was introduced and approved so that, when a director cannot attend a meeting, he/she may call on an alternate to take his/her place so there will be a quorum at each meeting.

Jimmy will be checking with A. Clark (landscaper) to make sure our holiday entrance decorations are up by Thanksgiving weekend.

A proposal that we look into planting willow trees around the lake (as suggested by MSD reps)to help slow bank erosion passed. Linda will be asking Dennis about this - how effective he thinks this would be, where we could get the trees.

Since the Yorktown bank will be closing, Charles will be moving our safe deposit box contents to the bank at New Cut / Kroger.

Dennis will be in charge of getting a gate built at the lake-end of the Old Towne sidewalk.

Vickie will be checking with lawyer husband Matt about what steps we need to take to become incorporated and to get info about becoming a Limited Liability Company (LLC). This is in response to the approved proposal that we begin the process to incorporate.
