What Happens at Board Meetings

Many of you probably don't consider attending the meetings of your Board of Directors on the fourth Monday of each month. We hope the reason is because you generally think things are running smoothly. If things are running smoothly, it is because of the hours of volunteer time spent by your Board members and of course, the enforcement of the CC&R's. Even if you things are great, we would love to meet you at our monthly meetings.
Your West Point Town Center Board meets in the Library at the new West Point Elementary school located at 13700 W. Greenway Road. Meetings begin at 7:00 p.m. The first hour to hour and a half are dedicated to the Board conducting the business of the Association. Though this portion of the meeting is done by the Board, we encourage the homeowners to come and listen and watch how your Board conducts business and the decisions that it makes. When the Board concludes its business, the floor is opened to the homeowners so that they may address the Board with questions, concerns or comments. Due to time, the number of homeowners or the amount of business that must be conducted, homeowners are generally alloted 3 minutes to make their points. More time is given if circumstances permit. The Board would like to remind those attending the meetings that the open forum is not the most efficient way to report routine items such as compliance issues or needed repairs on common property. Reporting these items is best accomplished by submitting a written letter or calling Patty Garman, Property Manager for the West Point Community. She can be contacted Monday ?– Friday between the hours of 9:00 a.m. and 5:00 p.m. Patty is generally very busy handling the behind-the-scenes business of the association and is not readily available to answer your call. If you are unable to contact her directly, feel free to leave her a voice mail with your name, address, builder and lot number along with your issue and she will get back to you. You may also send an e-mail to pgarman@cityproperty.com. If there are serious issues you feel have not been resolved or if there are some suggestions you would like to discuss with the Board, the open forum at the Board meetings is an appropriate time and place to do this.
Each Board member receives dozens of pages of material each month prior to the meeting. The material include financial reports, committee reports and requests from homeowners for Board action. Because the Board members have had the opportunity to review this material prior to the meeting, they move through the items quickly and sometimes without a great deal of detailed explanation. Some items may seem somewhat confusing. Nonetheless, homeowners who attend the meetings on a regular basis begin to understand certain issues that evolve over time.
Because of the amount of material that the Board must deal with each month, the Board does not accept comments or questions from homeowners during the business portion of the meeting. The President of the Board will recognize or call upon homeowners for information to aid in the decision-making at hand. Homeowners wishing to provide input to the Board may provide written feedback via Patty Garman.
